Team wikisProject trackingMeeting notesPersonal knowledge base

Pros

  • One subscription replaces separate doc, wiki, project, and note tools
  • AI operates on your actual knowledge base, not a blank chat window
  • Free plan is genuinely usable — unlimited blocks for individuals
  • Huge template ecosystem and community — most problems are already solved

Cons

  • Full AI — agents, Ask Notion — is gated to Business at $20/member/mo billed annually
  • Custom agents bill separately at about $10 per 1,000 monthly credits on top of seats
  • Performance drags on large databases, and offline mode remains unreliable
  • Flexibility means setup time — Notion is a build-your-own-tool kit, not a ready-made system

Our verdict

Best for: Teams that want docs, projects, and knowledge in one place with AI that actually knows their content.

Skip if: You want a ready-made system out of the box — Notion rewards builders and punishes teams who won't invest setup time.

Our review

Editorial score: 4.5 out of 5

Notion's AI bet is contextual: instead of a chatbot beside your work, its agents and Ask Notion operate on the workspace itself — your docs, projects, and meeting notes. That context is the moat. Asking "what did we decide about pricing?" and getting an answer sourced from three meetings and a strategy doc is something ChatGPT can't do without you feeding it everything first. The 2025 agents release (Notion 3.0) made this concrete: agents that build databases, draft pages, and run multi-step work across the workspace.

The catches are pricing structure and physics. Full AI now lives in Business at $20/member/month billed annually — Free and Plus users get a taste, then a paywall — and custom agents meter separately at roughly $10 per 1,000 credits, which makes heavy automation costs hard to predict. Meanwhile the old Notion complaints persist: big databases get sluggish, offline mode is still shaky, and the blank-canvas flexibility that delights builders overwhelms teams who just want a working system on day one.

For meeting capture specifically, a dedicated tool like Fireflies.ai still transcribes and CRM-logs better than Notion's AI meeting notes — Notion wins when the notes need to live next to the project they're about.

Verdict: the best AI workspace for teams willing to build their system in one place and pay for Business. Individuals ride the free plan happily; teams wanting turnkey structure should look at ClickUp first.

What reviewers elsewhere say

80% positive Praised as the connected-workspace standard with seamless collaboration; recurring complaints are performance on big databases, unreliable offline mode, and AI being gated to Business.
